This checklist closes that gap in about five minutes. You do not need to understand how any of the technology works. You need to be honest about how your business runs on a normal Tuesday, and the honest answer is often a little frustrating.
Twenty questions, four areas: your team, your processes, your tools, and your appetite for change. Answer each one Yes or No and tally the Yes count. Honestly, the total matters less than the shape of it, so watch which sections lift your score and which drag it down.
The 20 Questions
Answer each question with a plain Yes or No. Keep a running count of the Yes answers.
Section 1 - Your Team
- Does your team lose more than 2 hours a day to repetitive manual work, such as data entry or reformatting the same documents?
- Is someone on staff copying the same information between systems by hand, day after day?
- Are your weekly reports built by hand, stitched together from several sources that do not connect?
- Are your sharpest people stuck on admin that wastes the skills you actually hired them for?
- When one person is away, does work stall because the knowledge lived in their head rather than in a system?
Section 2 - Your Processes
- Is there a process that jams or slips at least once a week?
- Does onboarding a new client still eat more than three days of manual effort?
- Do you send near-identical emails or documents over and over, changing a line or two each time?
- Does your team juggle more than five tools that refuse to talk to each other?
- Is there a workflow that quietly falls apart the moment one specific person is unavailable?
Section 3 - Your Technology
- Does your business run on Microsoft 365 or Google Workspace?
- Have you wired up any automation yet, through a tool such as Zapier or Make?
- Do you have a CRM your team opens every day, rather than one that sits ignored?
- Are your files kept in one shared, organised system everyone can find?
- Has anyone at work tried an AI tool in the last 12 months, even a quick experiment?
Section 4 - Your Readiness
- If a new tool genuinely handed people time back, would your team actually try it?
- Have you set aside any budget for technology this year?
- Does your leadership see AI as an opportunity to chase rather than a threat to manage?
- Is there someone inside the business who champions new technology and pulls others along?
- Are you ready to commit 30 days to doing an implementation properly?

A low score is not the bad news it looks like. It usually means your operations are still simple enough to change without something breaking downstream. Pick one painful, repetitive job, the report that swallows every Friday afternoon, for example, and automate that alone. Start with the smallest one. Then measure the hours it gives back. A single clean win buys the confidence, and the internal goodwill, for the one after it.
8 to 13 Yes Answers - AI Ready
